Abstract
Civil Registry is the online system or agency to help the Indian citizens to apply for their government records like passport, driving license, voters ID card, PAN card etc... And register certificates like birth, death, marriage etc.

The primary objective of this web site is to give awareness about the
government or legal documents and its registration details as well as to help
to register or apply for those documents. This also acts as a consultancy
agency to assist the public. The main purpose of the web site is to reduce the
effort by the candidate and save his time and avoid unwanted rushes at the
government offices and assure a smooth working schedule at government offices.
The project Civil Registry still requires more development of IT
solutions and its applications to improve the issuance of copies of government
certificates and legal documents. Civil registry team trying to get more
affiliation to government offices and departments. Now civil registry team
acting as an agency to help the public.

the registration systems.
EXISTING SYSTEM
© With
the entire registration process focused on a relatively short time frame, the
risk to disruption due to unpredictable weather events or political events is
increased.
© The
periodic list may require a longer campaign period, if the list is being
constructed during the campaign.
© The
processing of voter registration data, collected over a short time frame,
places heavy burdens on other support areas, such as data entry, or information
processing.
© The
period of time it takes to perform data entry sometimes requires that the
registration take place well in advance of the election. This may result in
persons who turn 18 after registration takes place and before the election to
be disenfranchised unless corrective steps are taken to include them in the
voter register.

need for technical sophistication, particularly with computing hardware and
software, to maintain and continually update information.
© Care
must be exercised in maintaining the data needed for the management of
elections and the production of the voters list in civil registry databases. A
system must be in place to ensure that when a name is added to the database,
the database assigns the person to the correct administrative division.
© Similarly,
there is a fear in some instances of the inappropriate use of centralized
databases, such as a civil registry. The fear is that the data could be used
for unauthorized commercial purposes, or that there are insufficient limits on
the exchange of the data across governmental units.

a civil registry is used for a voters list, there is a need to have these lists
maintained either in the same government department (the system used in
Colombia), or in separate departments with considerable communication between
them.

backlog in recording and digital archiving of files. Current files will be
recorded in real time.

registration is eliminated / impossible; the system invalidates any application
if previously registered.

Certificate
record number is automatically generated thus eliminating redundant procedure
previously encountered.

Approximately
30% increase in income will be realized. City Civil Registry stands to earn
annually by reason of increased volume of transactions through the computerized
system.

Processing
time for request of Certified True Copies (CTCs) which constitutes the bulk of
Civil Registry activities will be drastically speed-up from 2 days to 5
minutes.

City
applicants/constituents will now have the convenience of a quality service.

Elimination
of faxes.

The
waiting time for request of Security Paper (SECPA) will be reduced from 5 days
to 5 minutes or waiting time.

Documents
will be electronically kept through a system of document storage compliant to
domestic and International Law on Document Security and Integrity.

Document
storage system prohibits editing and retrieval without passing through security
requirements.
